Hours: Tues, 3:00 pm – 7:00 pm; Wed & Thurs, 2:00 pm – 6:00 pm; Fri, 12:00 pm – 4:00 pm; Sat, 10:00 am – 2:00 pm

Job Summary:
Under supervision, performs general secretarial, receptionist, and clerical duties that are required to keep an office routine running smoothly.  Responsible for operating Electronic Medical Records (EMR) program, scanning, uploading, and assisting other users.  Uses initiative in carrying out the recurring work of the office independently, referring only problems and unfamiliar situations not covered by instructions to the supervisor for help.  Decisions are based on knowledge of procedural requirements of the work coupled with an awareness of specific functions and staff assignments of the clinic.

Essential Job Responsibilities:
Reception:  Answer incoming telephone calls, ascertain purpose of call and direct call to relevant staff or to voice mail; respond to general telephone inquiries as appropriate; direct client traffic by greeting the person, ascertaining the purpose of the visit, and directing the consumer or visitor accordingly; schedule and re-schedule consumer appointments; document all telephone and face-to-face contacts; issue receipts for consumer payments, and process incoming facsimiles.  EMR Management: scan and upload documents into the EMR system.  Provide assistance/help to others using the EMR system. File Management:  Provide back up, as needed to set up outpatient files by making file labels, securing paperwork in files, and placing them in appropriate filing space; set up and secure paperwork in other files as directed; track and monitor post-treatment monitoring groups by sending letters, tracking attendance, preparing and mailing noncompliance and completion notices, and closing the files upon completion. Word Processing:  Prepare correspondence, forms, and evaluations as directed. Clinic Closing:  Close clinic for business in accordance with lock-up procedures. Staff Support:  Provide back-up to ACT Program Administrative Assistant, and other support staff as needed. MIP Intake: Register MIP clients and answer general questions about the MIP program. Create MIP files.

Knowledge: Working knowledge of office practices, procedures, and policies; of business English, spelling, and composition; of clinic programs and services; of DOS, Windows, Microsoft Office Products, and other program-specific computer programs. Prefer experience with EMR programs. A criminal background check will be conducted.

Skills: Proficiency in word processing, data entry, and use of office equipment; skill in the use of multi-line phone system, computer, calculator, copier, fax, and other office machines.

Abilities: Ability to establish and maintain effective working relationships with colleagues, other agencies, clinic consumers, and the general public; to effectively communicate verbally and in writing; to follow written and verbal instructions; to perform duties with minimal supervision.
Education and Experience:  The above knowledge, skills, and abilities are typically acquired through a combination of education and experience equivalent to graduation from high school, some related course work, and one to two years of directly related and progressively responsible technical/administrative experience.
